Booking Performances
Basic Tips for Successful Programs
1. Contact Artists.
Using individual web sites/artist infor mation, contact
any COPA artists whose program descriptions
might appeal to your audience. Don’t forget to ask artists
what else they offer in addition to the programs listed in
this book let.
2. Discuss Goals.
Discuss your specific needs and any theme you’d
like the artist you select to address. COPA artists
are usually delighted to incorporate specific themes into
their work.
Suggest how the artist might inte grate perfor ming skills
with your particular situation.
3. Discuss Venue Setting and Artist’s Needs.
Think of ways to ensure that the performance space
will be comfortable for your audience AND the performer.
Examples: a slightly raised platform/stage (6-12”) or an aisle
will allow people seated in the back to see better, and will
help focus more attention on the performer.
Just as each venue differs, so do artist needs. Make sure you
communicate during the booking process.
Example: Some venues may not allow children on stage,
both parties will need to know that in advance of any
performance involving children.
Artists may also have specific needs (help unloading equipment;
tables for props; extension cord, etc.) that will need
to be provided by the venue.
4. Letters of Agreement.
COPA artists are highly professional and will
provide letters of agreement. In the interest of
BOTH parties, however, make sure to sign one or to provide
one between you and the individual artist you have
decided to hire.
5. Valuable Feedback.
The COPA web site has easily downloadable or
e-mailable evaluation forms. Please take the time to
fill one out for us. This information helps give artists valuable
feedback and helps generate new programing ideas
for the COPA roster. Also-- in case there is something you
didn’t like about the artist or the performance, we want to
know about it!
6. Liability.
COPA is committed to maintaining a roster of
individuals who represent the highest caliber of
integrity and professionalism. Because we are a cooperative
organization of various performers- COPA is not liable
for any negative reactions resulting from the actions of its
individual members.
